Source and contact context
Capture lead information and preserve the source, activity history, messages, appointments, and workflow stage in one place.
MAXOUT CRM / LEAD MANAGEMENT
Maxout CRM helps agents and teams move leads from intake to next action with structured contact records, source context, activity history, conversations, appointments, and follow-up. It is built to make both individual lead work and team visibility more practical.
WHAT THE WORKSPACE SUPPORTS
Capture lead information and preserve the source, activity history, messages, appointments, and workflow stage in one place.
Use status, activity, task, and workflow context to focus on the leads that require a real next action.
Support lead distribution, ownership, and operational visibility when a team needs to coordinate follow-up.
HOW IT FITS INTO THE DAY
STEP 01
Create or import a lead with source and contact details visible to the appropriate user or workflow.
STEP 02
Use messaging, email, calling, notes, and tasks to document the first response and follow-up.
STEP 03
Review lead stage, appointments, activity, and outcomes to understand what happens after intake.
Setup note
The lead-management workflow can be configured around the agency’s actual sources, users, pipelines, and follow-up process. Teams remain responsible for the accuracy and permissioning of their imported data.
Insurance lead management software gets every lead into one place, makes the first contact happen fast and keeps track of who needs what next. Maxout CRM takes in leads from Facebook, spreadsheets, websites and the API, starts follow-up on its own, and lets an agency hand leads to agents with a log.
It is the part of your CRM that collects leads from every source, gets them to the right person and records what happens next. A life insurance lead management system also has to deal with how your leads actually arrive: ads, vendor lists, website forms and referrals.
Lead management and a CRM are not separate things in Maxout. The same record holds the lead’s source, status, calls, texts, emails, appointments and files.
Maxout takes leads from five places, and you can use more than one at a time.
| Source | How it arrives | Good to know |
|---|---|---|
| Facebook Instant Forms | A live connection sends each new lead in real time. | You can turn on the AI drip for Facebook leads when you import them. The CRM can also create Instant Forms and manage ads from an Ads Manager workspace. |
| CSV file | An import wizard maps your columns. | Best for vendor lists. Check consent before you text them. |
| Google Sheet | The CRM watches a sheet you connect and imports new rows. | You can connect up to 25 sheets. |
| API | A token lets another system send leads in. | Up to 500 leads per request and 10,000 per day. You can set the status and turn the drip on for each lead. |
| Website funnels | Funnel pages for final expense, IUL, term and retirement. | They run under your own page name, with your privacy policy and terms. |
If the lead has never been texted, the opening sequence starts. It sends texts and emails on the waits you set, in the lead’s business hours. If the lead has been texted before, the CRM skips the opening and goes to the regular drip.
You can work new leads from the call queue right away. The dialer only picks leads that are inside calling hours and not marked do-not-call, so a fresh lead can get a call while the first text is still new.
Use statuses, lead lists and search. Each lead has a status such as new lead, follow up, appointment scheduled, no show, application submitted, completed or do not contact. A status manager lets you manage them, and a search page finds a lead across the CRM.
Keep statuses honest. A lead who stays at “new lead” for a month hides the real picture of your pipeline.
An admin moves leads to agents in batches of up to 250. The move runs in the background, and every batch goes into an audit log with who sent what to whom.
No. Having a phone number is not the same as having permission to text it. You need to know where each lead came from and what they agreed to.
This is general information and not legal advice. Your compliance contact knows your carriers’ and states’ rules.
Lead source context can be associated with records so agents and teams can understand the origin of conversations and workflows.
Maxout includes lead-distribution and ownership workflows for teams that need to coordinate responses.
No. The system helps organize operational work; sales results depend on the agency, leads, offers, licensing, and client needs.
It is software that collects leads from your ads, vendors and website, starts follow-up, tracks each lead’s status and records every call, text and appointment. Maxout CRM combines this with a dialer, texting and a quoter.

Only those who agreed to get texts from you. Having a number is not permission, and a lead can say stop at any time. The CRM sets Do Not Contact when they do.
Prices vary a lot. Maxout is one subscription with a monthly pool of credits for texts, calls and AI, and extra credits are sold in batches. See pricing on the demo call.
